Event Planning and Design

Full Service Wedding Planning (starting at $5,500)

Full service planning typically includes the following items, but can be customized to fit your individual needs.

Pre-Event Production

  • Recommend venues and vendors in accordance with event budget and style

  • Schedule and attend all vendor meetings and interviews

  • Attend site visit(s) with client to establish the event style, direction and flow

  • Unlimited face to face meetings, phone and e-mail communication/advice for client

  • Guidance on wedding etiquette

  • Create budget; manage deposit schedule and payments

  • Review and negotiate all vendor contracts

  • Decor conceptualization and coordinate overall event vision and design

  • Act as the liaison between client and vendors for all logistical needs

  • Create complete timeline for celebration and share with all vendors

  • Lead all-vendor walk-through

  • Provide guidance and sample text for printed materials including: save the date, invitation, ceremony program, and menu

  • List Forever In A Day as a point of contact on website, save the dates, invitations and welcome notes

  • Set up and manage hotel blocks for out-of-town guests

  • Schedule and book all guest and family transportation to/from ceremony and reception

  • Collate, stamp and mail save the dates and invitations

  • Advise on menu planning and attend tasting with caterer

  • Source and order items and packaging for favors and welcome gifts bags

  • Provide and maintain spreadsheet templates for the following: guest list, RSVP’s, seating plan, photography shot list, payment schedule and “do not play” list

  • Coordinate aspects of rehearsal dinner (including but not limited to; site scouting and decor design

  • Attend final meeting with client and collect all celebration elements

  • Confirm all details and arrival times for vendors

  • Provide schedule for family and VIP guests

  • Coordinate all printed materials

  • Assemble and deliver welcome gift bags for out of town guests

  • Coordinate rehearsal with (or without) Officiant

  • Manage rehearsal dinner including timing and speeches

 

Wedding Day

  • Coordinate all aspects of wedding celebration

  • Oversee check-in of rentals

  • Create “steps of service” for catering team

  • Coordinate all deliveries and installations of celebration in accordance with vendor contracts

  • Coordinate distribution of final payments and gratuities

  • Manage and coordinate transportation for family and guests

  • Provide event emergency kit (including sewing kit, stain remover, etc)

  • Provide and place restroom amenities basket

  • Organize and set up escort cards, place cards and menu cards

  • Oversee timely “flip” of room from ceremony to reception, if needed

  • Conduct final lighting, sound and temperature inspection prior to guest arrival

  • Conduct final seating and table check prior to guests welcomed to reception

  • Cue all music changes and speeches with band/DJ

  • Cue guest of honor and family for special moments including: cake cutting, toasts and dancing

  • Serve as point person for all vendors—cueing timing throughout event

  • Manage and remedy all moment-to-moment challenges

  • Arrange favors (if applicable)

  • Oversee strike of venue

  • Collect any celebration elements and gifts

  • Double check return/pick up of all rental elements from caterer and floral designer

  • Coordinate post wedding brunch

Diamond Package

Emerald Package

Day of Coordination (starting at $2,250)

  • Offer preferred vendor listing for third party services (i.e. floral, cake, photo, etc…)

  • Assist with gathering all details to create Wedding Ceremony & Reception template – bridal party processional notes, special songs or traditions, etc…

  • Create timeline of events for vendors, bridal party, ceremony and reception flow – be sure your scheduled events meets your rental agreement with venue and catering service

  • One week prior to event, call and confirm Outside Providers arrival times and setup details

  • Coordinate and direct rehearsal and ceremony

  • Provide Onsite Bridal Emergency Kit

  • Manage all event setup and breakdown

  • Check in and out of all Outside Providers

  • Execute event timeline and production details

  • Assist with pinning personal floral for bridal party and family

  • Welcome all guest and assists with directing late arrivals into ceremony area

  • Gather all ceremony attendees, bridal party and officiate for processional line up and assist with signaling everyone for ceremony

  • Gather wedding party and family members for post ceremony photos with photographer

  • After photos and before grand entry, will bustle wedding dress and coordinate pre reception drinks and appetizers with caterer for bride and groom (private time)

  • If needed, assist MC with bridal party line up and introductions for special guests (i.e. parents)

  • Manage reception floor and behind the scene details during dinner and dancing

  • During reception, will load wedding gifts and inventory items (if not being used) into pre designated vehicle

  • Collect cake accessories/rentals and top layer of cake to load with gifts

  • Confirm that all client belongings are safely packed and loaded in designated vehicle (i.e. bride and grooms departure vehicle or parents of bride or groom).

  • Coordinate ―To Go food for bride and groom departure vehicle

  • Assist MC with coordinating all guests to exit once event concludes for departure farewell

  • Follow up with client post event (one week) to ensure client received all belongings and proceed with

  • closing file

We are located in York County, Maine and travel throughout New Hampshire and Massachusetts. We are a group of sassy, thoughtful, creative women whose only goal is to make sure you have a day to remember forever.

Kelly was absolutely AMAZING!!! She was so detail oriented and had so many wonderful suggestions and ideas. I would recommend her services to anyone looking for a wedding decorator/coordinator!

She was by far the best vendor I had! She helped me stay calm, she was incredible!!! So worth it!!

I  was referred to Kelly from a friend and I'm so happy she was part of my day! She helped with the months leading up to the big day with answers to questions I had. She was very comforting when talking to her because she ensured me everything would be ok, and it was! She was there for me for the rehearsal and again the next morning bright and early ready to help with everything! With her around, there's NOTHING to worry about! She guided me thru the day and kept everything on track for timing. There was a mishap with a rental company that was a no show, and she handled it great! Was on the phone with them, moved around centerpieces and problem solved. I was not worried or upset when I found out because she had everything under control! I even forgot a white pen for our wedding book (I remembered we didn't get one when I walked in and saw the book on the table) and her assistant got some and ensured me it was all set! Please do yourself a favor and use Kelly! You will not be disappointed! Thank you Kelly for EVERYTHING!

Kelly was so amazing to have as a day-of-coordinator! We met and talked several times prior to the day of our wedding, and she was extremely organized and made notes of all my ideas and wishes, and truly made everything happen. She remembered all the details we'd been talking about, and tied them all together. I also really appreciated that Kelly was really friendly and easy to talk to, and also assertive and direct, but not bossy. She handled day-of bumps seamlessly, to the point that we didn't even know anything had gone wrong. Our bridesmaids and groomsmen and family all expressed their appreciation of her too. We would 100% recommend her to others!

Kelly....how can I even put into words how much we love her! She helped calm me down in the weeks approaching my wedding, gave me advice on things I wasn’t sure about, and on the day of, she was a SUPERSTAR! She made sure I wasn’t stressed about anything, and could focus on having a good time. She helped with set up, cleanup, and everything in between. Kelly will always have a special place in the hearts of me, my new husband, and our families for everything she did for us. I recommend her for ANY events that you are having. ❤️

I would recommend Kelly to anyone looking for a wedding planner/coordinator. Due to COVID postponements & changes of plan, Kelly helped me plan my wedding THREE times and I could not have done it without her! She is extremely detail oriented and organized & was vital to the wedding day being so relaxed and smooth. She went above and beyond at every point of planning, so much so that multiple guests told me what a great job she had done. I would 100% recommend her services to anyone! (May 2021)

Kelly is a consummate professional. She was looking out for us the entire day and was invaluable for making sure our wedding went off without issues or stress.

 

When the venue unexpectedly changed the table layout and sizes for us at the last minute, Kelly said “I’ve got this” – and she meant it. We didn’t have to spend a second thinking about it!
